Overview

AVIAN is looking for experienced and motivated Executive Support Staff to fill potential roles supporting the management and execution of a Test and Evaluation Contract with Air National Guard Air Force Reserve Command Test Center in Tucson, Arizona.

 

The Executive Support Staff will provide high-level administrative and operational support to senior leadership managing an aerospace Test and Evaluation contract. Responsibilities include managing communications, coordinating meetings, tracking program deliverables, and assisting with financial reporting. This role requires professionalism, discretion, and the ability to handle multiple tasks in a fast-paced environment.

Responsibilities

Key Responsibilities:

  • Provide executive-level administrative support, including calendar management and travel arrangements.
  • Develop and maintain the following: written reports, briefings in various formats, letters of correspondence, memos, meeting agendas and minutes, action item lists to include periodic update and tracking of action completion, technical evaluations, test plans, test reports, other test documentation, engineering studies, acquisition strategies and plans.
  • Prepare reports, presentations, and correspondence for leadership and client engagements.
  • Organize and coordinate meetings, document minutes, and track action items.
  • Support budget tracking, invoice processing, and contract documentation.
  • Ensure compliance with corporate and regulatory standards, including FAR/DFAR.
  • Manage travel logistics and expense reporting for senior leadership.

Qualifications

Knowledge, Skills, and Experience

Required:

  • 3-5 years of executive or administrative support experience, preferably in aerospace or defense.
  • Strong communication skills and proficiency with Microsoft Office.
  • Familiarity with government contracts and FAR/DFAR compliance.
  • Active DoD Secret clearance.
  • Due to the sensitivity of customer-related requirements, U.S. Citizenship is required.

Desired:

  • Experience in aerospace or defense industries.
  • Event planning and project management support experience.
  • Travel management expertise.
  • Bachelor’s degree in business administration, Communications, or related field preferred.
